“Avalon is prepared” — A Time Capsule

Below is the text of the email I sent to clients on March 10, 2020.

Greetings!

As we continue to watch the impact of COVID-19 unfold, please know your Avalon teams are prepared to respond to changing dynamics and keep your campaigns moving. We know how much your organization depends on the revenue we raise, and we are committed to doing everything in our power to ensure your fundraising is on track to support your critical mission.

The entire Avalon team is fully capable of working remotely with secure access to our server. Our team-based structure will ensure there is always coverage on your program – an especially helpful set-up when situations can be shifting over time. Our office phones will also forward to our cell phones, so we’ll be accessible however you need to reach out.

We have been in touch with our production partners and other vendors and are impressed by their thorough plans to move work to alternate resources should an outbreak impact any one area. Like Avalon, their teams are equipped to work from home if necessary and are committed to keeping campaigns moving.

While we anticipate an extended quarantine would likely result in some schedule delays, these delays will likely be temporary, and Avalon will continue to adjust strategy and plans to keep your programs on track in the months ahead. We’re also prepared to make recommendations for copy changes, mail date changes, and/or channel shifts (email/mail/phone) should the situation necessitate.

We have a great team at Avalon, and we’re taking extra precautions to keep them healthy and safe – including cancelling non-essential travel over the next two months, shifting meetings to video calls, working with our building to ensure our office is thoroughly cleaned each night, and mandating that employees who don’t feel well stay home.

Your Avalon teams will continue to stay in frequent contact with you and share any information we learn that may impact your program. Please also let us know your plans for your team so we can make any additional adjustments necessary.

These are definitely challenging times, but we’ll get through them together. Please don’t hesitate to reach out if you have any questions or concerns.
